THE ROLE

The Finance & Admin Associate will be responsible for managing day-to-day financial transactions and administrative operations to ensure the smooth functioning of the organization. This role requires strong organizational skills, attention to detail, and the ability to handle financial and administrative tasks efficiently.


Responsibilities:

Finance

  • Maintain accurate financial records, including bookkeeping, expense tracking, and reconciliations.
  • Process invoices, reimbursements, and vendor payments while ensuring proper documentation.
  • Assist in preparing budgets, financial reports, and grant reports.
  • Ensure compliance with financial policies, tax regulations, and audit requirements.
  • Support payroll processing by maintaining salary records and ensuring timely payments.


Admin and Operations

  • Support procurement processes, including vendor selection and contract management.
  • Maintain office infrastructure, supplies, print-outs, and vendor relationships.
  • Handle travel arrangements, logistics, and event coordination for team members.
  • Oversee asset management and ensure proper documentation of office resources.
  • Maintain accurate documentation for all financial and procurement transactions.
  • Manage donation receipts, ensuring timely processing, dispatch, and compliance.
  • Oversee banking transactions, including cheque processing, for efficient financial operations.


Experience Requirements:

  • Bachelor’s degree in Commerce, Business Administration, Finance, or a related field.
  • 1-3 years of experience in finance, administration, or operations (preferred).
  • Knowledge of accounting principles, bookkeeping, and financial compliance.


Values, Competencies, and Skills:

  • Proficiency in MS Excel, Google Sheets, and accounting software (e.g., Tally, Zoho, Keka, QuickBooks).
  • Good communication skills (written and verbal) in English and Punjabi.
  • Strong attention to detail and ability to manage multiple tasks.
  • Ability to work in a structured and organized manner.
  • Ethical, accountable, and committed to maintaining financial integrity.
